How to Get the Perfect Uniform Fit for Your Whole Team

A uniform programme fails quietly when the fit is wrong. The shirt that pulls at the shoulders. The trouser waist that sits too low. Staff stop wearing the uniform properly, appearance standards slip, and HR ends up managing complaints instead of running the programme. Getting the fit right from the start — especially for bulk orders — is one of the highest-return investments you can make.

Start with measurements, not guesses

The most common mistake in team uniform orders is assuming that casual clothing size equals uniform size. It does not. A staff member who wears a Medium t-shirt may need a Large dress shirt because uniform patterns are cut differently — closer to the body for a professional silhouette, with room allocated to the chest and shoulders rather than the waist.

For every team member, record two measurements: chest (fullest part, tape level under the arms) and waist (natural waistline). For trousers, add inseam if your supplier offers multiple lengths. Use a soft measuring tape and measure over the undergarments staff will wear on duty.

International sizing standards

Uniform.lk uses international sizing from XS through 5XL, aligned with standard chest and waist charts used by corporate uniform suppliers worldwide. This matters for two reasons: it makes reordering predictable, and it means staff who have worn international brands already have a reference point.

When building your size run for a bulk order, tally the measurements and map each person to a size using the chart — not the other way around. If someone’s chest measurement falls between two sizes, choose the larger one. A slightly loose uniform can be adjusted; a tight one will not be worn.

Sampling before bulk production

For orders of 20 pieces or more, we recommend sampling at least three sizes: your most common size, one size up and one size down. Have staff in each size category try the sample during a normal workday — not just a quick fitting in the HR office.

Check these things during the sample wear test:

  • Can the staff member raise their arms without the shirt pulling at the shoulder?
  • Does the collar sit comfortably when the top button is fastened?
  • For trousers, does the waistband sit at the natural waist without a belt cinched tight?
  • After sitting for 30 minutes, are there pressure points or restriction?
  • Does the fabric feel comfortable after two hours in your workplace temperature?

Common sizing mistakes to avoid

Ordering one size for “similar” body types

Two staff members may look similar but measure differently. Always use individual measurements for the size run, even if it feels tedious for a team of 100.

Ignoring gender-specific cuts

Unisex sizing exists but is not always the best fit. Women’s blouses and men’s shirts are cut differently through the chest, waist and hip. Specify the correct garment type for each team member.

Skipping the size mix review

Before confirming a bulk order, review the size distribution. If 60% of your team is Medium but you have only ordered 30% Medium, you will run out of the most common size within weeks. We help corporate accounts model the size mix from measurement data.

Not planning for new hires

Include 5–10% extra stock in your most common sizes to cover new starters between reorder cycles. Store them labelled by size so HR can issue them on day one.
